Auction Volunteers

2010 Auction LogoWe are looking for 40 volunteers for our October 30th 10th Annual Auction and Celebration. Volunteers help to make this event a success and we so appreciate it. Whether you have volunteered at our auction before or this is your first time we would love your help! See the list of positions below.

We are asking all volunteers to gather at 2pm on October 30th at The Hall at Fauntleroy. Volunteers will be fed and can bid on the lovely items we have available. If you are interested please sign-up and if you have any questions please call Debbie Carlsen at 206-632-1545 ext. 115.

Volunteer Positions:

Greeter Team

  • Help greet guests as they enter the event and help direct them to the proper check-in point.
  • Open doors for guests and welcome them to auction.
  • Direct guests to check-in/check-out and coat check.
  • Direct bicycles to nearest bike racks.

 

Check-in/Check-out Team

  • Quickly retrieve the guests’ materials for the night. Help direct the guests to the silent auction,
  • live auction, and other areas in the event. The team will also help process payments and retrieve auction items that guests have won.
  • Help direct guests to correct check-in area.
  • Unpaid guests are directed to the unpaid registration.
  • Paid guest are directed to the paid guest registration area according to their last name (or the last name of the registered guest they are replacing).
  • Retrieve bidder packet for the guest.
  • Make certain that all of the guest's information is complete, especially their billing address.
  • Encourage guests to prepay. If they choose to prepay, ask for their credit card and swipe the card. Give the guest a copy of their prepay receipt.
  • Direct guests to correct check-out line.
  • Guests that did not prepay have the option of paying by cash, check, or credit card.
  • Volunteers will retrieve guests' items from the pick-up area.
  • Help guests load large items into their cars.

 

Coat Check Team

  • Manage and keep safe guests’ belongings.
  • Store/retrieve guest's coats, laptop bags, briefcase, etc.

 

Silent Auction Team

  • Assist guests through the silent auction process and encourage bidding on items.
  • Monitor assigned area of the silent auction.
  • Check bid sheets. If someone has offered the buy now bid, close the item by circling the winning bid and crossing out the remaining bid lines on the sheet. Turn the bid sheet over
  • so the bid sheet face is facing down.
  • At the close of the spotter's auction area, the spotter retrieves the bid sheets and circles the winning bid. The spotter takes the white bid sheets to data entry.
  • Take fragile items to the volunteer room to be wrapped.
  • Place items back in packaging if possible.
  • Clean up silent auction area.
  • Return auction items to their spot with yellow bid sheet on top.
  • Help retrieve items during check-out.

 

Live Auction Models

  • Display auction items for the live auction.
  • Prepare items for display during auction.
  • Show items to guests during auction.

 

Spotters

  • Assist the auctioneer in spotting bidders.
  • Spread throughout dining area during live auction.
  • Each spotter is assigned a group of 5 to 6 tables.
  • Attract attention of the auctioneer when a bid is made in your group of tables.

 

Runners

  • Assist in keeping track of winning bids.
  • Wait at runner's table during live auction.
  • Retrieve winning bidder's information.
  • Get winning bidder to sign bid sheet.
  • Take winning bidder's information to data entry.

 

Live Auction Recorders

  • Track the winning bid and bidders during the live auction.
  • Recorder writes down winning bid number and amount for each item.
  • During paddle raise, recorder writes down bidder number and contribution level.
  • Recorders will fill out bid sheet for runners to take to data entry.

 

Data Entry

  • Enter auction results and track guest information.
  • Enter information from check-in, silent auction, and live auction.
  • Print receipts during check-out.

 

Invite Follow-up

  • Help confirm the status of invited guests.
  • Make follow-up phone call to contacts that were invited to event.
